Team Management

Invite members, assign roles, and manage permissions for your studio team.

Invite a team member

To add someone to your studio:

  1. Go to Settings > Team
  2. Click Invite Member
  3. Enter their email address and select a role
  4. Click Send Invite

The new member receives an email with a link to create their account. Once they sign up, they are automatically connected to your studio and can start using the dashboard.

Pending invitations appear in the team list with an "Invited" badge until the person accepts.

Roles and permissions

Bookify has four roles with different access levels:

  • Owner - full access to everything, including billing and the ability to delete the studio. There is exactly one owner per studio.
  • Admin - can manage settings, services, team members, and all calendars. Cannot access billing or delete the studio.
  • Artist - can view and manage their own calendar, clients, and sales. Cannot see other team members' data or change settings.
  • Receptionist - can create and manage bookings for all team members and use the POS. Cannot change settings or manage team members.

You can change a member's role at any time from the team settings page.

Set individual availability

By default, team members inherit the studio's working hours. To set custom hours for a specific person:

  1. Go to Settings > Team and click on the member
  2. Toggle Custom availability on
  3. Set their working hours for each day of the week
  4. Add any personal time off or recurring breaks

When a client selects this team member on the booking page, they only see slots that fall within that person's available hours.

Remove or deactivate a member

You have two options when a team member leaves:

  • Deactivate - hides them from the booking page and prevents login, but preserves their booking history and sales data. Use this for temporary absences or to keep records.
  • Remove - completely revokes access and unlinks them from your studio. Their past bookings remain in your history but are no longer associated with their account.

Both actions are available in Settings > Team by clicking the member's name and scrolling to the bottom of their profile.

Transfer ownership

If you need to transfer your studio to another person (e.g. selling the business or changing management):

  1. Make sure the new owner already has an Admin role on your studio
  2. Contact support at support@bookify.lu with the request
  3. Both the current and new owner will need to confirm the transfer by email

Ownership transfer includes full control of billing, settings, and all studio data. This process is handled manually for security.
